Countryman Solar (“Countryman Solar”, “we”, “us” or “our”) is an Australian-owned and operated solar and home-energy business based in Melbourne, Victoria. We respect your privacy and handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This Privacy Policy explains what personal information we collect, why we collect it, how we use, store and disclose it, and how you can access or correct it or make a complaint.
1. What personal information we collect
Depending on how you deal with us, we may collect:
- Contact details – your name, email address, phone number and postal or installation address.
- Property and energy information – property type, roof details, photos you send us, meter and electricity-retailer details, energy bills and usage data, and details of existing solar or battery systems.
- Eligibility information – information needed to check or claim government rebates, incentives or small-scale technology certificates (STCs), such as proof of home ownership, household income range, concession card details or other documents requested by the relevant scheme.
- Transaction information – quotes, orders, invoices, payment status and warranty records. We do not store full credit card numbers; card payments are processed by our payment provider.
- Communications – enquiries, messages and feedback you send through our website forms, by email or by phone.
- Website information – IP address, browser and device type, pages visited and similar technical data collected through cookies and similar technologies (see section 8).
We do not intentionally collect sensitive information (such as health information). If we ever need it, we will only collect it with your consent or where the law allows.
2. How we collect personal information
We collect personal information directly from you where reasonable and practicable – for example when you complete our Contact Us or Request a Quote forms, call or email us, book a site inspection, sign a quote or accept an installation. We may also collect information from third parties with your consent or where the law allows, such as your electricity distributor or retailer, finance providers, government rebate programs and STC agents.
You can deal with us anonymously or using a pseudonym for general enquiries. However, we will need your name, contact details and address to prepare a quote, install a system or process a rebate or warranty claim.
3. Why we collect, use and disclose personal information
We collect, use and disclose personal information to:
- respond to your enquiries and prepare quotes and system designs;
- arrange site inspections, supply and installation of solar panels, inverters, batteries and other products;
- arrange grid connection, metering changes and compliance certificates (including the Certificate of Electrical Safety in Victoria);
- check eligibility for and process government rebates, incentives and STCs;
- provide after-sales support, servicing and warranty assistance;
- manage invoicing, payments and our accounts;
- send service messages about your job or system;
- send marketing about our products and services where you have agreed or the law otherwise allows (see section 6);
- improve our website, products and services; and
- meet our legal and regulatory obligations.
4. Who we disclose personal information to
We only disclose personal information for the purposes above, or as otherwise permitted by law. Recipients may include:
- our licensed electricians, accredited installers, designers and subcontractors;
- electricity distributors, retailers and metering providers (for grid connection and meter changes);
- government agencies and programs, including the Clean Energy Regulator, Solar Victoria and Energy Safe Victoria, and registered STC agents;
- product manufacturers, suppliers and wholesalers (for orders, system monitoring set-up and warranty claims);
- finance and payment providers you choose to use;
- IT, website hosting, email, cloud-software and customer-relationship service providers;
- our professional advisers (such as accountants, lawyers and insurers); and
- courts, regulators and law-enforcement bodies where required or authorised by law.
We require our service providers to handle personal information in line with the Privacy Act. We do not sell your personal information.
5. Overseas disclosure
Some of our service providers (for example cloud-software, email, analytics and mapping providers, and some product manufacturers’ monitoring platforms) may store or process information outside Australia, including in the United States, Singapore and the European Union, and in China for some manufacturers’ monitoring platforms. Where we disclose personal information overseas we take reasonable steps to ensure the recipient handles it consistently with the APPs.
6. Direct marketing
We may send you information about our products, services, promotions and rebate updates where you have consented or where the law otherwise allows. Our electronic messages comply with the Spam Act 2003 (Cth) – they identify us and include a simple way to unsubscribe. You can opt out at any time by using the unsubscribe link or contacting us. We will still send service messages about an existing job or system.
7. How we store and protect personal information
We store personal information in secure electronic systems and, where applicable, in secure physical files. We take reasonable steps to protect it from misuse, interference, loss and unauthorised access, modification or disclosure – including access controls, password protection and secure hosting. We keep personal information only for as long as we need it for the purposes above or as required by law (for example tax, electrical-safety and warranty record-keeping), and then securely destroy or de-identify it.
If a data breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme.
8. Cookies, analytics and third-party services on our website
Our website uses cookies and similar technologies to make the site work, remember your cookie preferences and understand how the site is used. You can accept or decline non-essential cookies through our cookie banner and change your choice at any time, or block cookies in your browser settings (some features may then not work).
Our website also loads content from third-party services, such as embedded Google Maps, web fonts and content-delivery networks. These providers may collect technical information such as your IP address under their own privacy policies.
9. Automated decision-making
We do not currently use computer programs to make decisions about you that could significantly affect your rights or interests without human involvement. Online estimates or calculators on our website are indicative only and every quote is reviewed by our team. If this changes, we will update this policy to describe the kinds of personal information used and the kinds of decisions made.
10. Accessing and correcting your personal information
You can ask to access the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Please contact us using the details below. We will respond within a reasonable time (usually within 30 days). We may need to verify your identity. If we refuse a request, we will tell you why in writing and how to complain.
11. Complaints
If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. We will acknowledge your complaint and aim to respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992.
